Tips on managing a high flow of BYO cups at your busy cafe

Encouraging customers to bring their own reusable cups is a fantastic way to establish your business as a sustainable coffee destination. We also know that when we align our actions with our values, it contributes to our overall well-being.


However, managing a diverse array of reusable cups presents challenges, particularly during busy periods. So, how can you overcome these?

1. SIMPLIFY YOUR SERVICE AREA


Keep your counter free of clutter, especially during peak service times. Consider dedicating a specific area on the counter where customers can place their cups, ensuring you have enough space to handle a variety of cup styles and sizes.



2. STANDARDISE YOUR SYSTEM


Create a consistent process for identifying and managing orders in reusable cups. A standardised system can help reduce confusion and improve efficiency for you and your team.


Consider implementing the following:

  • A docket system with notes or codes printed via the POS system.

  • Post-it notes or paper on or under cups to identify orders.

  • A master list, written on paper or directly on the counter with a whiteboard marker, to keep track of cup types and orders.

  • A standardised code system that all staff members learn, detailing cup styles, sizes, or brands (e.g., "KC Sml" for a small KeepCup, "Yeti Red Lrg" for a large red Yeti). This helps ensure everyone knows which order belongs to which cup.

3. SET CLEAR EXPECTATIONS


Customer communication:

Encourage customers to use cups that are easy to handle and clean. You might also suggest or sell specific types of reusable cups that are compatible with your coffee service.


Team training and culture:

Train your team to manage different types of reusable cups efficiently. Ensure everyone understands your system for handling cups to minimise confusion. Promote a culture that values sustainability by educating your team on the benefits of reusable cups and encouraging them to share this knowledge with customers. Enthusiastic staff can help create a positive, cohesive environment.


Cleaning protocol:

Establish a clear policy regarding dirty reusable cups and communicate this to customers through conversations or signage.
